Adding notes, photos, and signatures in the App

How and when to add notes, photos, and signatures to stops and shipments.

Overview

Notes, photos, and signatures give dispatch and customer service important context about what happened at each stop. They help resolve issues quickly and provide a record of events.

Where You Can Add Notes and Attachments

  • Within Stop details

  • Within Shipment details at a stop

  • During POD or exception workflows

Adding Notes

  1. Open the Stop

    • From your route, tap the stop you’re working on.

  2. Find the Notes Section

    • Tap Add Note, Stop Notes, or similar.

  3. Enter a Clear Note

    • Include:

      • What happened.

      • Who you spoke with (name and role).

      • Any agreed‑upon next steps or reschedules.

    • Example:
      “Customer closed at 3:45 pm; spoke with John (dock supervisor). Rescheduled for tomorrow morning 8–10am per his request.”

  4. Save the Note

    • Tap Save or Done so dispatch can see it in real time.

Adding Photos

  1. Open the Photo or Attachments Section

    • Look for Add Photo, Attachments, or a camera icon.

  2. Take or Select a Photo

    • Use the camera to capture:

      • Damaged freight.

      • Stacked freight after delivery.

      • BOL or shipping documents.

    • Ensure images are clear, well‑lit, and focused.

  3. Attach and Save

    • Confirm the photos are attached to the correct stop or shipment.

    • Save before leaving the screen.

Capturing Signatures

  • Follow the steps in the Proof of Delivery article.

  • Signatures are often captured under Capture Info / POD rather than general notes.

  • Keep notes factual, not emotional.

  • Use photos whenever there is any damage, refusal, or dispute.

  • Never include protected or sensitive information that your company has forbidden in notes or photos.
