Vehicle status management

Vehicle status indicators help you track the availability and condition of each vehicle in your fleet.

available status types

  • Active Vehicle is operational and available for assignment.

  • Assigned Vehicle is currently assigned to a driver or department.

  • Maintenance Vehicle is undergoing scheduled or unscheduled maintenance.

  • Out of Service Vehicle is temporarily unavailable (awaiting parts, major repairs, etc.).

  • Reserved Vehicle is reserved for future use or assignment.

  • Retired Vehicle has been removed from active fleet but kept for record-keeping. 


How to change Vehicle Status

Step 1: Navigate to the vehicle profile

Step 2: Click the current status badge

Step 3: Select the new status from the dropdown menu

Step 4: Add a note explaining the status change (optional but recommended)

Step 5: Click "Update Status


automatic status changes

The system automatically updates status in certain situations:

  • When a maintenance appointment is scheduled, status changes to "Maintenance"
  • When a driver is assigned, status changes to "Assigned"
  • When an assignment ends, status returns to "Active"

Configure notifications to alert relevant personnel when status changes occur.
